Sponsorship Opportunities

If you would like to enhance your participation in the convention or are unable to exhibit, we encourage you to consider this option. Please refer to the Exhibitor & Sponsor Contract for options and amounts.

Exhibitor Guidelines
The convention will be held at the Arvada Center for the Arts & Humanities, 6901 Wadsworth Boulevard in northwest Denver. The exhibit area will be in the Arvada Center's ballroom sections A & B. The room is carpeted and will accommodate up to 20 tabletop displays.

The exhibition will be open from 8:00 a.m. to 3:15 p.m. on Saturday, March 29th. The exhibit hall will host continental breakfast, refreshment breaks and lunch during these hours.

Exhibitors will unload and set-up displays between 6:30 and 8:00 a.m. on Saturday, March 29th. (Directions and specific instructions for unloading will be sent to exhibitors prior to the convention.) Teardown time will begin at 3:15 p.m.

Each exhibiting company will be provided with one covered table (8-feet long by 30 inches wide) and two chairs. Space is limited; your display must fit on top of your table.

Electrical access is limited. You may request one electrical outlet on the enclosed form. Please be aware that your electrical requirements will restrict your location to an area where power is available. You must provide your own extension cords.

Our exhibit area is designed to provide maximum flow and exposure. The Chapter will assign your display space with consideration for receipt of registration with payment and access to electrical outlets. You will be notified of your display location when you check-in at the APTA registration desk.

Your exhibit fee includes refreshments and boxed lunch for two (2) representatives for each display. Because space is limited, we request that you limit your personnel to no more than two persons. Additional representatives will be charged $40 each to cover refreshments and lunch.

Door prizes add excitement and fun. You may provide your own collection box and sign-up forms. Door prize drawings will be conducted during the afternoon refreshment break.

By completing the Exhibitor & Sponsor Agreement, you are responsible for complying with the following rules and regulations:

Nature of Exhibits: The APTA/Colorado Chapter Annual Convention Exhibition is intended to provide a showcase of products and services used in the physical therapy profession. The APTA/Colorado Chapter reserves the right to refuse to rent space to any company whose display of goods or services is not compatible with the general character and objectives of the exhibit.

Assignment of Space: Spaces in the Exhibit Hall will be reserved on a first-receipt of agreement, first-served basis with due consideration to utility requirements and all other matters relating to the successful conduct of the exhibits. If space is not available, a waiting list will be developed in the same order. The APTA/Colorado Chapter will refund all moneys received with the agreement to any applicant for whom space is not available.

Subletting of Exhibit & Prohibited Uses: Exhibitors are prohibited from assigning or subletting any part of the space allotted to them, nor shall they exhibit or permit to be exhibited in their space any merchandise or advertising materials which are not a part of their own regular products, or which are not compatible with the character of the APTA/Colorado Chapter Annual Convention Exhibition.

Payment and Provision in Case of Default: Full payment for exhibit space or sponsorship must be received at the time of agreement. If an exhibitor fails to pay when due any sum required by the agreement, or fails to perform any other term or condition of the agreement, or fails to observe and abide by these conditions, rules and regulations, the APTA/Colorado Chapter reserves the right to terminate the agreement immediately without refund of any moneys paid.

Cancellation of Contract: Notice of cancellation must be made in writing to the APTA/Colorado Chapter, 7853 East Arapahoe Court, Suite #2100, Centennial, Colorado 80112-1361, or by email to apta@assnoffice.com. There are no refunds will be made for cancellations or no shows.

Insurance and Liability: Neither the APTA/Colorado Chapter, nor its members, officers, staff and management company (Caruso Group International), nor the Arvada Center for the Arts & Humanities, the City of Arvada, and its representatives or employees will be responsible for any injury, loss or damage that may occur to the exhibitor or the exhibitor's employees or property whatsoever, prior, during or subsequent to the period covered by the exhibit agreement. It is understood by the exhibitor that the nature of the facilities available, the presence or circulation of large numbers of people, the numbers of removable articles in many booths, and various other factors, make it mandatory that each exhibitor shall assume the risk of any such injury, loss or damage. The exhibitor, by completing this agreement, thereby assumes such risk and expressly releases the above-named parties from all claims for any such loss, damage or injury.

The furnishing of security shall not be deemed to affect the non-liability of the above-named parties nor to modify in any way the assumption of risk and release provided for them. If insurance is desired, it must be obtained by the exhibitor.

In case said premises shall be destroyed by fire or the elements or by any cause, or in the case of Government intervention or regulation, military activity, strikes or if any other circumstances make it impossible or inadvisable for the APTA/Colorado Chapter to hold the Convention and Exhibit, then and thereupon the Contract shall terminate and the exhibitor shall waive any claim for damages or compensation, except the pro rata return of amounts paid for space, after the deduction of actual expenses incurred in connection with the Exhibit, and there shall be no further liability on the part of either party.

It is recommended that exhibitors obtain adequate insurance coverage at their own expense for property loss or damage and liability for personal injury.

Exhibitor is responsible for obtaining permission and licensing necessary for using any copyrighted materials such as printed materials, live or recorded music, audio and video presentations.
